Responsibilities:

This Clerical Specialist 4 answers calls to main switchboard and directs to appropriate staff. Employee is responsible for screening emails received from the agency’s website, entering information into a central database, forwarding to appropriate individual, and conducting follow-up to ensure that all issues presented in emails are handled appropriately. Employee tracks customer concerns and maintains customer inquiry database. Under general supervision, this employee is responsible for maintaining record retention schedules and for fulfilling requests for public records. The individual must prioritize assignments. In addition, the employee is responsible for performing various administrative duties such as interpreting policies and procedures for other workers, organizing and coordinating the work of others. The Clerical Specialist 4 is also responsible for performing additional clerical functions as necessary.

Minimum Qualifications:

Twelve months experience as a Clerical Specialist 3, 10113 or similar position requiring the use of Microsoft Office Suite, or completion of two years of technical training in office administration/secretarial science, or formal education in arithmetic that includes addition and subtraction, and reading and writing common English vocabulary. Also requires one course or six months experience in typing or keyboarding and one course or six months experience in word processing.

Preferred Qualifications:
One year experience handling public records requests and/or confidential records;
One year experience in customer service delivery to diverse individuals;
One year formal training/certification in Microsoft Word, Excel and Access;
Two years’ experience in using Microsoft Word, Excel, and Access in a work environment.
