JOB DESCRIPTION:

Creates and maintains accounts in the state automated child welfare information system (SACWIS); grants security access to staff based on position and updates as needed; fields questions and data fix requests from staff; contacts State help desk for assistance as needed for data fix requests and tracks progress of fix; enters judgment entries and creates provider records in system as needed.

Receives case files or documents and determines proper document type and location to scan documents; merges data and/or moves data to other areas within the case file; conducts research to clarify document information; scans and distributes documents to assigned caseworker; faxes and copies documents as requested; generates reports and creates provider records as needed; receives requests for case records from other public children services agencies, Court Appointed Special Advocate, etc. and researches case information and determines which records can be sent to the requesting party; prepares discovery of case files; ensures proper custody and control of drug screens from the time of receipt until delivery to a UPS drop off; delivers time sensitive legal documents to juvenile court for file stamp and returns a file stamped copy to the assigned caseworker. Transports consumers to and from court, doctor’s appointments, visitations, daycare etc.; delivers clothing, food, household products, etc. to consumers.

Oversees children when caseworkers are meeting with parents or guardians; monitors visitations and interviews on agency security cameras or in person. Staffs front desk; unlocks and locks front doors and file cabinets; changes date on date stamp; gathers mail from the drop box; greets and assists customers in person and over the phone; de-escalates or calms consumers in the lobby; answers multi-line switchboard; addresses envelopes; writes receipts; maintains office supplies.

Processes and distributes mail and emails; makes copies; prepares envelopes for mass mailings. Maintains the sign out schedule of agency vehicles; assigns workers to vehicles. Attends meetings as required.

MINIMUM QUALIFICATIONS :

High school diploma or GED supplemented by vocational training and one year of administrative experience or any equivalent combination of education, and experience that provides the requisite knowledge, skills, and abilities for this job. Valid driver’s license required.
