GENERAL JOB RESPONSIBILITIES:
This position is currently located with the Family and Children Services Division (FCS). The employee will act as a receptionist, professionally greeting customers and providing assistance as needed. The employee performs clerical functions including word processing, basic spreadsheets, data entry, letters, memos, filing, scanning, copying, updating computer files, maintains, tracks and orders FCS division office supplies.

The employee composes business letters, sends letters as notifications and is responsible for tracking program areas through use of spreadsheets. The employee answers the FCS intake phone line and responds to preliminary inquiries.  The employee forwards calls and information to FCS Intake screeners, will direct other internal and external calls as needed and answer basic customer questions about the agency. The employee performs other duties as required including, but not limited to, preparing monthly reports, preparing/mailing business letters, completing large copy jobs, scheduling meetings and taking minutes during meetings. This position requires the ability to maintain accurate records as well as multi-task. The employee must remain calm and professional at all times. Other duties may include coverage for workers (i.e. processing mail).

MINIMUM QUALIFICATIONS:

  • High school diploma and/or GED required.
  • Coursework or one year experience in Microsoft Word and Excel.

PREFERRED QUALIFICATIONS:

  • Must be detail-oriented with strong organizational skills to perform duties of tracking and documenting program progress and inventory of supplies.
  • Experience working independently as well as in a cooperative team environment.
  • Experience providing direct service to a diverse customer base.
  • Ability to communicate effectively, both orally and in writing, including experience in taking minutes, keyboarding and interacting with the public.
  • Experience in adapting to new technology or computer programs

UNUSUAL WORKING CONDITIONS/HAZARDS:

For the most part, this position is clerical in nature. However, due to the nature of our agency, the incumbent may occasionally interact with angry or hostile clients.
