Position Overview:

Champaign County Department of Job and Family Services is seeking a highly organized, customer-focused Receptionist/General Clerical Support professional to serve as the first point of contact for visitors and consumers at both our Main Lobby/OhioMeansJobs (OMJ) Center. This role is essential in ensuring smooth front desk operations, providing accurate information, and supporting various clerical and administrative functions across the agency.

 

Key Responsibilities:

Main Lobby Duties

• Greet and assist visitors and consumers; advocate for consumer rights.

• Provide basic program information and direct individuals to appropriate units.

• Process and scan documents, including child support payments, PA overpayments, and other agency payments.

• Manage incoming and outgoing mail, including sorting, scanning, and distribution.

• Assist with fingerprinting, file maintenance, and document shredding per retention schedules.

OMJ Front Desk Duties

• Open/close OMJCC office; maintain lobby cleanliness and stock supplies.

• Answer phones and direct inquiries; assist visitors with sign-in, orientation, and technology use.

• Monitor visitor computer usage and ensure compliance with usage agreements.

• Troubleshoot basic equipment issues and assist with job search resources.

• Support employer communications and job postings; respond to website inquiries.

• Assist job seekers with resumes, cover letters, and UI claims.

General Clerical Support

• Take meeting notes and assist with special projects

• Provide backup for bank/mail runs and assist with equipment inventory.

• Offer clerical support to various program areas as needed.

• Participate in planning and executing employee engagement activities.

 

Minimum Qualifications:

• Strong written and verbal communication skills.

• Exceptional customer service skills with the ability to respectfully respond to customer frustrations and advocate for consumer rights.

• Proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.

• Ability to work concurrently on multiple tasks and projects while maintaining attention to detail.

• Must be adaptable and willing to work in a collaborative team environment.
