SUMMARY:
Schedules appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
The functions listed below are intended to depict general job assignments, abilities and responsibilities required of this position. Other duties as assigned.
Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer. Prepares outgoing mail and correspondence, including e-mail and faxes. Maintains confidential information.
Composes and types routine correspondence.
Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. Transcribes notes or voice recordings on a computer.
Organizes and maintains file system, and files correspondence and other records.
Answers and screens manager's telephone calls, and arranges conference calls.
Coordinates manager's schedule and makes appointments. Greets scheduled visitors and conducts to appropriate area or person.
Arranges and coordinates travel schedules and reservations.
Conducts research, and compiles and types statistical reports and other documents.
Assists with maintaining accurate and up to date information on Agency website.
Makes copies of correspondence or other printed materials.
Coordinates/tracks move details and arranges for equipment maintenance.
Orders and maintains supplies.
Creates forms and assists with RMS responsibilities.
Enters KRONOS for Deputy Director and Program Administrators, also tracks overtime.
Serves as contact for TALX employment verification service and assists with interpreter and translation services. Assists with directing customer service complaints to the appropriate employee.
SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibilities.
QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
COMPUTER EXPERTISE REQUIRED / EQUIPMENT OPERATED:
To perform this job successfully, an individual should have the ability to use Microsoft Office Programs. Typing speed of 40 wpm required.
